# Work Pages: overview

Work pages are the screens you use every day: who sent a message, who arrives today, what to make next. They sit at the top of the WordPress menu, under **Dashboard**, so you and your staff don't have to go through the form builder to get to them.

There are six. You switch on the ones that fit your business and leave the rest off.

### What you need

* **CraftForms 2.3** or later.
* **Enquiries** is in the free version. **Bookings**, **Rentals**, **Appointments**, **Orders** and **Products** need **CraftForms PRO**.
* An Administrator account to switch pages on and to decide who can see them (see [Team Access](/documentation/work-pages/team-access.md)).

### Which page for which business

| **Enquiries** | Anyone with a contact, quote or application form | Everything sent through your forms, what still needs an answer, and one card per person with your notes. See [Enquiries](/documentation/work-pages/enquiries.md). |
| **Bookings** | B\&Bs, guest houses, holiday homes | Rooms and stays: a calendar, guests, who arrives and leaves today, calendar sync with Airbnb and Booking.com. |
| **Rentals** | Bike, boat, kayak and gear hire | Things you rent by the time or the day: what goes out today, what is out, what is back. |
| **Appointments** | Salons, therapists, guides, workshops | Appointments, tours and classes: who is coming today, a week view of free times. |
| **Orders** | Shops that take orders through a form | Orders from your forms in a simple workflow: To do, In progress, Done. Analytics for product sales. |
| **Products** | The same shops | What you sell through your forms: prices, stock and status. |

Bookings, Rentals and Appointments are explained in [Bookings, Rentals and Appointments](/documentation/work-pages/bookings-rentals-appointments.md). Orders and Products are in [Orders and Products](/documentation/work-pages/orders-and-products.md).

A business can use more than one. A farm stay might have **Bookings** for the rooms, **Appointments** for cooking classes and **Orders** for the olive oil it sells.

### Turn work pages on

There are three ways, and they all do the same thing.

**On a new site**, the Getting Started wizard asks **What will you manage here day to day?** Tick what applies (**Messages and enquiries**, **Stays (nights)**, **Rentals**, **Appointments, tours or classes**, **Orders taken by the form**). Each answer adds its page to the menu. **None of these: I build forms for others** keeps the menu as it is.

**Right after Getting Started**, the last screen lists **Your other pages**: one step for each other page you ticked, such as "Messages: add a contact form". Each goes to that page's **Setup** tab and is ticked once the page has its form.

**On a site you already use**, Overview shows a message, **New: a page for your daily work**, with the same choices. Click **Save** to add the pages, or **Not now** to hide the message. Nothing changes until you save.

After that, Overview's **Your pages** lists each page that's on. A page without its form yet shows **Set up**; one that has it shows **Ready**. **Add a page** offers the pages you haven't added, each with a line on what it's for; tick them and click **Add to my menu**.

**At any time**, go to **CraftForms → Settings → Work Pages**:

1. Tick the pages you want.
2. Optional: change a page's **Menu name**, for example "Guests" instead of "Bookings". The name can be up to 40 characters.
3. Click **Save**. The page reloads and the new menu is there.

![Settings, Work Pages tab with six page cards](https://97821998-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FM2yV1foUgoGHBC66VBDw%2Fuploads%2F9HCKwpIYwmRsl8yCsmUp%2Fwork-pages--settings-work-pages.jpg?alt=media)

Each card says what the page is for and what it already holds ("62 enquiries to answer", "7 rooms"). **Open** goes straight to the page.

Switching a page off hides it. It deletes nothing: your messages, bookings and orders stay where they are, and come back when you switch the page on again.

**Orders taken by the form** switches on **Orders** and **Products** together. You can switch either off afterwards.

### What changes in the CraftForms menu

Once you have saved your choice of work pages, the record screens move together under one item:

| Before | After |
| ------------------------ | -------------------------------------- |
| CraftForms → Submissions | CraftForms → **Records** → Submissions |
| CraftForms → Orders | CraftForms → **Records** → Orders |
| CraftForms → Files | CraftForms → **Records** → Files |
| CraftForms → Email Logs | CraftForms → **Records** → Email Logs |

The screens themselves are the same, with a row of tabs on top to move between them. Their addresses haven't changed, so bookmarks still work. **Forms**, **Email Templates**, **PDF Templates**, **Catalog**, **Embed**, **Flows** and **Settings** stay where they were.

A site that never chooses work pages keeps the old menu.

Analytics is no longer a menu item on any site. It is the second tab of **CraftForms → Overview** (**Summary** and **Analytics**). The old Analytics address opens that tab.

### What every work page has

* **A head** with the page name, links into CraftForms (for example **Catalog**, **Orders**, **Forms**) for people who can open them, and **Help**.
* **Tabs** for the page's lists. The first tab is the one you need most days.
* **Setup** (for people with **Manage** on the page): the form that feeds the page, where it is on your site, and one-click emails. See each page's article.
* **Follow up** (Bookings, Rentals, Appointments and Orders): people who started your form and didn't send it, and emails that failed. Abandoned-form capture fills the first list; the tab offers **Turn on** when your form doesn't save half-filled forms yet (see [Abandoned form capture](/documentation/form-building/abandoned-form-capture.md)).
* **Advanced settings in CraftForms**: a link at the bottom to the full catalog item, form or order record, for when you need more than the work page shows.

Work pages work on a phone too. Lists turn into cards, and the Week view of Appointments turns into a day list.

### One person, one email

Work pages know people by their email address. Someone who sent a question, then booked a room and later bought a jar of honey is one person, not three. Their card on each page shows **Also:** with links to the same person on the other pages you can open.

If that email belongs to a user of your site, the card says **Site user** and the role, with a **Profile** link when you can edit that user. Lists of people have an **Only site users** filter once anyone on the list has an account.

### Overview

**CraftForms → Overview → Summary** collects what needs you across the work pages: enquiries waiting for an answer, orders and bookings waiting for payment, products low in stock, emails that failed. Each line links to the page that fixes it.

![Overview Summary with Needs attention and Last 7 days](https://97821998-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FM2yV1foUgoGHBC66VBDw%2Fuploads%2FWf5bqdhkipAnRTb6RZRi%2Fwork-pages--overview-needs-attention.jpg?alt=media)

### Updating from 2.2

The first time 2.3 loads, CraftForms tidies up the past once, so you don't start with years of "to do":

* Messages older than 30 days that have no outcome yet are marked **Replied**.
* Paid or confirmed product orders older than 30 days are marked **Done**.

The last 30 days stay as they were. Nothing else is changed, and this runs only once per site.

### Good to know

* Work pages show what your forms collect. A booking is still an order in **Records → Orders**, a message is still a submission in **Records → Submissions**. Nothing is copied.
* WooCommerce orders and products stay in WooCommerce. The **Orders** and **Products** pages show only what CraftForms sells, and say so at the top.
* On WooCommerce sites the menu has two items called **Products**: WooCommerce's and CraftForms'. Rename ours under **Settings → Work Pages → Menu name** if that's confusing.
* Who sees which page is set in [Team Access](/documentation/work-pages/team-access.md).
