# Managing Licenses and Billing Info

CraftForms PRO is sold in two ways, and you pick one when you buy: through **Paddle**, managed in your [my.craftformswp.com](https://my.craftformswp.com/) account, or through **Freemius**, managed in the Freemius dashboard. Both are permanent, fully supported options. They are separate systems, so a licence bought in one is managed only there.

### Plans <a href="#plans" id="plans"></a>

PRO comes in two plans, and both include every PRO feature. The only differences are how you pay and how many sites you can activate.

Both plans include email templates, ecommerce and booking features, online payments, all blocks and form starters, and priority email support. There's no free trial. The free CraftForms plugin stays free and has no time limit.

You can own several licences on one account, for example one per client project.

### Buying through Paddle <a href="#buying-through-paddle" id="buying-through-paddle"></a>

You don't need an account to buy: pick a plan, pay, and your account is created from the email you used at checkout.

1. Go to [craftformswp.com pricing](https://craftformswp.com/#pricing) or [my.craftformswp.com/buy/plugin](https://my.craftformswp.com/buy/plugin), choose **Indie** or **Startup**, and pick **Paddle** under **How would you like to pay?**
2. Pay by card, PayPal or a local payment method.
3. Check your email:
   * **New customer:** "Set up your account" has a link to set your password. It's valid for 14 days.
   * **Existing account:** "Your CraftForms Pro licence is ready" links to **My Licenses**.

Already signed in? Buy another licence from **Billing** in my.craftformswp.com.

**Invoices and tax.** Paddle is our merchant of record. Paddle sells the licence to you, issues the invoice, handles VAT, and appears on your card statement as `PADDLE.NET*`. Invoices and receipts are in the Paddle billing portal. Open it from **Billing → Open Paddle billing portal** in my.craftformswp.com.

### Your my.craftformswp.com account <a href="#your-mycraftformswpcom-account" id="your-mycraftformswpcom-account"></a>

Each licence has a **Licence reference** (like `LIC-…`). Quote it when you contact support. It is not the code you activate a site with.

PRO downloads need an active licence: a Startup licence, or an Indie subscription that hasn't lapsed.

### Activating PRO on a site (Paddle) <a href="#activating-pro-on-a-site-paddle" id="activating-pro-on-a-site-paddle"></a>

Each site gets its own activation code, tied to that site's domain.

1. In my.craftformswp.com, open **My Licenses** and click your licence.
2. Under **Activate a new site**, enter the site's domain (for example `yourdomain.com`) and click **Activate**. A code like `CF-XXXXXXXX-XXXXXXXX` appears under the site. Click **Copy**.
3. Open **Downloads** and download CraftForms PRO.
4. In the site's WordPress admin, go to **Plugins → Add New → Upload Plugin** and upload the zip. It replaces the free plugin, and your forms and settings are kept.
5. Go to **CraftForms → Settings → Activate PRO**, paste the code into **Your activation code**, and click **Save and activate**. You should see "License activated — PRO features are on."

The code only works on the domain it was created for. The plugin re-checks it every 6 hours. If our server can't be reached, PRO keeps working for up to 5 days.

#### Moving a licence to another site <a href="#moving-a-licence-to-another-site" id="moving-a-licence-to-another-site"></a>

* In the site's **Activate PRO** tab, click **Deactivate**. This detaches the site; the code itself stays valid.
* To free the seat, click the bin icon next to the site in **My Licenses**. Then activate the new domain.
* Reaching your plan's limit shows "Activation limit reached for this license."

#### Development and staging sites <a href="#development-and-staging-sites" id="development-and-staging-sites"></a>

These sites don't use a seat. They get a **dev / staging** label in My Licenses automatically:

* **Local addresses:** `localhost`, `*.localhost`, `*.test`, `*.local`, `*.ddev.site`, `*.lndo.site`, `127.x.x.x`
* **Hosting-provider staging domains:** `*.myftpupload.com`, `*.cloudwaysapps.com`, `*.wpsandbox.pro`, `*.ngrok.io`, `*.ngrok-free.app`, `*.mystagingwebsite.com`, `*.staging.wpengine.com`, `dev-*` / `test-*.pantheonsite.io`, `staging-*.kinsta.com` / `.kinsta.cloud`

A staging subdomain of your own domain, like `staging.example.com`, does use a seat. Contact support if you need it exempted.

A staging copy cloned from your live site keeps PRO working, because the activation code comes along in the database.

### Renewals, cancellation and refunds (Paddle) <a href="#renewals-cancellation-and-refunds-paddle" id="renewals-cancellation-and-refunds-paddle"></a>

**Renewal.** Indie renews automatically every year. My Licenses shows the next date as "Renews …". Startup never needs renewing.

**Cancelling.** Cancel an Indie subscription in the Paddle billing portal (**Billing → Open Paddle billing portal**). You keep PRO until the end of the period you paid for, shown as "Cancelled — access until …".

**When a subscription ends or a payment fails:**

* PRO features switch off on your sites. The free features and all your forms and submissions keep working.
* PRO updates and downloads stop.
* Your site activations are kept. Resubscribe and the same codes work again.

**Upgrading from Indie to Startup.** Buy a Startup licence, then activate your sites under it.

**Refunds** follow our [Refund Policy](https://kb.craftformswp.com/plans-and-billing/refund-policy). Email <<support@craftformswp.com>> with your Licence reference. A refunded licence is deactivated.

### Licences bought through Freemius <a href="#licences-bought-through-freemius" id="licences-bought-through-freemius"></a>

Nothing changes for Freemius customers: buying, renewing and updating all stay with Freemius. In the [Freemius customer portal](https://customers.freemius.com/) you can:

* manage your billing information
* check your licence status
* download the PRO version

#### Sites and development copies <a href="#sites-and-development-copies" id="sites-and-development-copies"></a>

A licence covers as many live sites as you bought, plus one free development site. Sites whose domain is clearly a local, development or staging copy don't count towards the limit:

* **Domains ending in:** `.dev`, `.test`, `.local`, `.staging`, `.example`, `.invalid`, `.myftpupload.com` (GoDaddy), `.cloudwaysapps.com` (Cloudways), `.wpsandbox.pro` (WPSandbox), `.ngrok.io` (tunnels)
* **Subdomains:** `local.*`, `dev.*`, `test.*`, `stage.*`, `staging.*`, `stagingN.*` (SiteGround), `*.staging.wpengine.com` (WP Engine), `dev-*.pantheonsite.io` and `test-*.pantheonsite.io` (Pantheon), `staging-*.kinsta.com` and `staging-*.kinsta.cloud` (Kinsta), `*.mystagingwebsite.com` (Pressable)
* **`localhost`**, on any port

For a development site outside these patterns, deactivate the licence under **Account** in that site's WordPress admin, then activate it on the other site.

#### Upgrades <a href="#upgrades" id="upgrades"></a>

Within **one week** of buying, you can move from Indie to Startup and pay only the difference. After that week, a bigger licence is a new purchase at full price.

### FAQ <a href="#faq" id="faq"></a>

**Can I use a Freemius licence key with the PRO plugin from my.craftformswp.com, or the other way round?** No. The two systems are separate: a Freemius key activates the Freemius build, and an activation code activates the build from my.craftformswp.com.

**I bought through Freemius. Does my licence show in my.craftformswp.com?** It can appear there after a sync, but you manage its sites, billing and updates in the Freemius customer portal.

**Where do I find my invoice?** Paddle purchases: my.craftformswp.com → **Billing → Open Paddle billing portal**. Freemius purchases: the Freemius customer portal.

**Why does my card statement say PADDLE.NET?** Paddle is our merchant of record, so the charge comes from Paddle.

**I lost my activation code.** Open **My Licenses**, click the licence, and copy the code shown under the site.

**Can I buy more than one licence?** Yes, for example one per client. They all sit in the same account.

**What happens to my forms if PRO stops?** Nothing is deleted. PRO features and updates switch off until you renew, and everything free keeps working.
